The legal basis for this processing is the performance of a contract between you and us and/or taking steps, at your request, to enter into such a contract.
- adding specific data, namely your title, first name, last name, job title, organisation and country, to the list of participants (“delegate list”) of the event you registered to attend. The list may be distributed to event participants in printed and/or electronic form as part of delegate information and/or delegate handouts. The legal basis for this processing is consent.
2.4 We may process information contained in any enquiry you submit to us regarding goods and/or services (“enquiry data”). The enquiry data may be processed for the purposes of responding to your enquiry. The legal basis for this processing is our legitimate interests, namely business and communications with users.
2.5 We may process information relating to transactions, including purchases of goods and services, that you enter into with us and/or through our website (“transaction data”). The transaction data may include your contact details, your bank details, your VAT number and the transaction details. The transaction data may be processed for the purpose of supplying the purchased services and keeping proper records of those transactions. 3. Providing your personal data to others
3.1 We may disclose your personal data to our insurers and/or professional advisers insofar as reasonably necessary for the purposes of obtaining or maintaining insurance coverage, managing risks, obtaining professional advice, or the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure.
3.2 We may disclose delegates’ full name, job title and organisation to the event venue, Sofitel Brussels Europe Hotel (https://www.sofitel-brussels-europe.com/en/) insofar as reasonably necessary for security reasons. We may disclose delegates’ full name, job title and organisation to the event partners, Ericsson (https://www.ericsson.com/en) and Nokia (https://www.nokia.com/) insofar as reasonably necessary for the registration approval process. We will disclose delegates’ full name, email address, job title and organisation to our supplier identified at Ring Central (event platform) (https://www.ringcentral.com) in order to provide participants with access to the platform and enable them to access all the functionalities of the service. We will disclose to all delegates, speakers and sponsors the full name, job title and organisation of the delegates that have agreed, upon their registration, to have these details appear on the delegate list.
3.3 Financial transactions relating to our website and services may be handled by our payment services provider, WorldPay. We will share transaction data with our payment services provider only to the extent necessary for the purposes of processing your payments, refunding such payments and dealing with complaints and queries relating to such payments and refunds. 3.4 Information that you provide to us for the purpose of subscribing to our email notifications and/or newsletters (“notification data”) may be handled by our marketing automation platform, Dotmailer. We will share notification data with our marketing automation platform only to the extent necessary for the purposes of sending you the relevant notifications and/or newsletters. 4. International transfers of your personal data

5. Retaining and deleting personal data
5.1 This Section 5 sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal data.
5.2 Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.
5.3 We will retain your personal data as follows:
Title, first name, last name, job title, organisation, organisation type, full address, email address, country, phone number, VAT number will be retained for a minimum period of five years following the date in which you provide the data to us, and until such time as you ask us to remove it.
Bank details will be retained for as long as necessary for the purpose of refunding your payments and dealing with complaints and queries relating to such refunds, and for a maximum period of 60 days following the processing of your refund.
5.4 Notwithstanding the other provisions of this Section 5, we may retain your personal data where such retention is necessary for compliance with a legal obligation to which we are subject, or in order to protect your vital interests or the vital interests of another natural person.

6.1 We may update this policy from time to time by publishing a new version on our website.

7. Your rights
